Office Manager & HR Specialist

About the position

We are seeking a dynamic and organized professional to fill a dual role as our Office Manager and Recruitment/HR Manager to support our growing team in Hanoi, Vietnam. This position will ensure smooth office operations, assist with financial administrative tasks, and play a crucial role in talent acquisition and human resources management. This is an exciting opportunity to contribute to our growth by supporting both day-to-day operations and building a strong team.

Key Responsibilities:

Office Management & Finance (50%)

  • Office Contracts & Space Management:
  • Manage office contract renewals including negotiations on space, cost and terms 
  • Handle payments and receipt submissions. 
  • Research alternative office spaces to accommodate company growth.
  • Budget & Financial Coordination
  • Work closely with our finance team
  • Manage the office and team budget 
  • Manage payments and invoices and setting up payment methods.
  • Meeting Room & Equipment Management
  • Book meeting rooms as needed 
  • Manage office equipment and devices for employees.
  • Employees benefits:

Recruitment & HR (50%)

  • Talent Sourcing: Conduct market research to identify high-quality recruitment sources in the local area.
  • Working with external sources - Building a relationship with placement companies and engaging with them as needed, publishing positions in job boards, relevant professional forums etc. 
  • Candidate Outreach & Interview Coordination: Perform cold calls to potential candidates and schedule interviews.
  • University Partnerships: Liaise directly with relevant universities to organize alumni interviews and other recruitment events.
  • Employee Engagement: Plan and facilitate team-building events and department social gatherings

Requirements

  • Proven experience in office management, recruitment, and HR functions.
  • Strong organizational skills, attention to detail, and ability to multitask.
  • Excellent communication and interpersonal skills.
  • Proficient in budget management and invoice processing.
  • Ability to work independently and collaborate effectively across departments.
  • Familiarity with local recruitment sources and HR best practices.
  • Experience in event planning and employee engagement activities is a plus.
